1. GIVE YOUR TEAM PLENTY OF NOTICE

Unless you have no choice, it is ideal to schedule your company headshots at least four weeks in advance. It can be very nerve-wrecking to have a headshot taken, especially a professional one. Providing advanced notice will maximize your team’s prep time and minimize their stress level.

With over 20 years experience as a Dallas headshot photographer, what I’ve found is that, while I can successfully photograph 40–60 plus employees in a day, often times getting all those schedules to sync means that, practically speaking, if you have more than 25 people getting their business headshot taken, have a backup date/time already planned for those that did not make it.

2. QUANTITY IS KEY

The way you approach headshots for 4 people will need to be different than for 30 people. Your headshot photographer may offer quantity discounts, so check with him/her. I know I offer my Dallas, TX area headshot clients different levels of quantity discount based on the total number of people that get photographed. So be sure to ask.

3. CREATE A SCHEDULE

Having specific appointment times for each team member is key. This allows the photographer and the employees dedicated time for their company headshots session, and keeps the process running smoothly.

How I like to do it is this: not just a time for each individual, but a time slot for 5 people in a time (20–30 minute slots, usually).

3. MAINTAIN COMMUNICATION

Keep those phone lines open! Stay in contact with your team, as well as the photographer. Company headshots are an important component of the visual representation and overall message of the team. The goal is for the team members to look professional and polished, while also contributing to the company’s image as a whole. Use those headshots both on the website, and on their LinkedIn profile photos. Clear and direct communication between all parties is core to making the great photos be a seamless process.
